How we work

Four steps, always with a consultant who speaks your language.

  1. 1

    Discovery call

We map your clinic: entity, locations, specialties, payers and where you are in the licensing path.

  2. 2

    Requirements checklist

You receive a checklist of state, county and city items with what to gather for each one.

  3. 3

    Preparation and filing

We prepare the applications and documents, you review and sign, and we submit them to each agency.

  4. 4

    Follow-up and handover

We track each file until there is a decision and leave you a calendar of renewals.

Serving Miami and all of South Florida

Two offices, one team, and clients from Homestead to Fort Lauderdale.

AHCA surveyors and accreditation reviewers in Florida ask to see written policies and evidence that the staff was trained on them, and a clinic in Hialeah or Miramar with a bilingual team benefits from having those documents in the language its staff reads best. South Florida practices also need an emergency plan that covers hurricane season: how patient records are protected, how appointments are handled after a storm and who reopens the office. We write those sections for the reality of a practice in Miami-Dade or Broward rather than copying a template from another state.

Visits are by appointment. Most of the work can also be done remotely.

Frequently asked questions

Straight answers about this service. For anything else, call us or ask the assistant.

Which policies are mandatory for my practice?

It depends on your license type, the services you offer and the plans you contract with. A first review identifies what is required in writing and what is simply good practice, so you invest in the documents that matter.

What should medical office policies and procedures in Miami cover?

At a minimum patient privacy and HIPAA, infection control, medication handling, incident and complaint reporting, staff screening and an emergency plan that includes hurricane season. Clinics licensed by AHCA and practices seeking accreditation usually need additional policies tied to their license category.

What does AHCA look for in a clinic's written policies?

Surveyors ask to see the policies your license category requires, evidence that staff were trained on them and proof that the practice actually follows them. We write policies that match how your office really works so the survey does not expose a gap between paper and practice, and we can also prepare you for the AHCA application itself.

Can you update a manual we already have?

Yes. We audit the existing manual against current requirements and your real workflow, keep what still works, rewrite what is outdated and flag policies you have on paper but do not actually follow.

Can the manual be in Spanish for our staff?

Yes. Many clinics in Hialeah, Doral and Miramar have teams who read Spanish more comfortably, so we deliver the manual in English and Spanish where you need both, with matching sign-off sheets for training records.

Do you also train the staff on the new policies?

We prepare the training summaries and sign-off sheets and can walk your team through the key policies in a session at your office, in English or Spanish. The signed sheets go into each employee file as the training evidence a surveyor asks for.

What does a manual of medical office policies and procedures in Miami cost?

It depends on your clinic type, how many policies your license and payers require, whether you are starting from scratch or updating an existing manual and whether you need it in two languages. We scope it with you in the first conversation and tell you what your set will include.

Do we need these policies for accreditation as well?

Yes, and accreditors go further than the state, asking for quality and safety programs on top of the operational policies. If you are working toward accreditation, we align the policy set with the accreditor's standards as part of our healthcare accreditation consulting.
